Relay Frequently Asked Questions


Q:  Will there be electricity available or are we able to bring generators? (Tracey Shaffer of Meadows Stars)

A:  While electricity is provided for Relay functions such as the stage and the food pavilion, we do not provide electricity to team campsites.  Part of the charm of Relay is the darkness of night with the Luminaria Bags shining brightly.  Admittedly, generators would be a nice convenience, but imagine 75 or 80 of them running at the same time.  To preserve the atmosphere of Relay, we do not allow generators.  And remember, fire of any kind, including fire fueled by propane or oil, is not allowed.  We'll all be roughing it!

Q:  What are the guidelines about fundraising at Relay and what vendors can and cannot do?

A:  The main thing to remember for Relay day is that no money can change hands that does not go to our event (ACS).  In other words, if a check is being written at Relay, it must be made out to the American Cancer Society.  Vendors or anyone promoting a product or service MUST NOT sell at the event.  Relay is a wonderful way to get a business name out into the community, but all activities at Relay should be about Relay Click here to see the Relay For Life National Standards, which addresses selling at Relay.

Note:  Teams are encouraged to have separate fundraisers where they have much more freedom to raise money for their team.

Q:  What is the ACS tax ID number and can we use the RFL logo to make letterhead to use when asking a business for a donation (raffle prizes, etc.)?  If not, what can we use to write a letter on to say what we are using their donation for?

A:  The ACS Tax ID number is 94-1170350 (located on the Team Fundraising Information & Fliers page).  It is permissible to use the Relay For Life logo when preparing fliers and letters for fundraising events.  Please be sure to use the logo properly and present your letters and fliers in the best possible way.  Remember, you are representing Relay!

Q:  Will there be stylists from a salon at RFL this year to cut hair for "Locks for Love"?

A:  Updated Answer!!!  YES!  Team Tranquility will be doing Locks of Love this year!

 


Relay Rules and Regulations

1. There will be a loading/unloading area near the entrance of the Relay field.  We ask that you minimize your time parked here since it is the only loading area we have available.  If you need to leave a vehicle unattended in this area, you will be required to sign in.  Please be courteous to the other campers who need to unload. Use of wagons, wheelbarrows and/or dollies is suggested to transport items.

2. Teams may set up their campsites from 2 pm until 8 pm on Friday night. There is no camping on the field on Friday night, security will be provided.

3. Please use the trash and recycling cans provided. Campsites should be kept clean at all times.

4. Please do not use any metal stakes of any kind. Also be aware of the sprinkler lines that are marked as not to damage them.

5. Please keep all tents within your designated campsite area.

6. Please, no fuel-type lanterns, stoves, barbeques or Tiki torches. No open flames of any kind.

7. RV parking is available to those who have pre-registered with Logistics. Regular parking is limited so we ask that you do not take up valuable parking space with your RV in the normal parking lot.  To request an RV parking space, please fill out the request form on the Forms page.

8. If you would like to keep your Luminaria Bags, please pick them up Sunday morning before 9 am.  Bags remaining after 9 am will not be available for pickup.

9. Please do not dump the Luminaria Bag sand onto the field. Return the sand to the Luminaria booth.

10. Please remember your sunscreen, a flashlight for midnight trips to the bathrooms and also plenty of water. We will have some water provided though it may not last the entire night.

11. Food will be available throughout most of the event.  You will need food tickets that may be purchased in advance (the May Team Captain Meeting and Campsite Selection Night) or on the day of the event.  Although food is available, bringing additional snacks for your team is suggested.

12. No wading pools, there is no water available. It may become a mess to your neighbors.

13. No use of any paints, glue, or other substances on the field.

14. Be aware of the noise level at night.  Be a good neighbor!

15. Let your team members know to bring additional cash if they want to participate in games, contests, raffles, etc., throughout the event.

16. No dogs are allowed inside the Relay Event. We realize that this is a public park and dogs may use the other areas of the park, but we ask that all dogs be kept outside the event for health and safety purposes. Please pass this information on to anyone who might be attending Relay.  Thank You!

17. Due to Health Department regulations, we are NOT permitted to sell home-made food or beverage items.  Any food or beverage items sold MUST be professionally pre-packaged. 

18. Most important of all, HAVE FUN!!!
